Key points
  • A Google Business Profile is free and is what shows on Maps and in the local results when someone searches "CA near me" or "tax consultant in [your area]".
  • Google picks the verification method for you: phone or SMS, email, a video recording, a live video call or a postcard. A video recording must be one unedited, continuous clip of at least 30 seconds, recorded on a phone through the profile.
  • Choose the primary category that completes "this business IS a…". For most practices that is Chartered accountant; Tax consultant, Tax preparation service and Accountant can be additional categories.
  • Use the firm's real name only. Adding "Best CA", "GST Filing" or a city to the name breaks Google's guidelines and is the fastest way to a suspension.
  • Virtual offices and mailing addresses are not eligible. A co-working desk qualifies only with permanent signage, staff present and clients received during the hours you list.

When a business owner in your area types "CA near me" or "GST consultant" into Google, the first thing they see is not a website. It is a map with three firms on it, each with a name, a star rating, opening hours and a "Call" button. Those are Google Business Profiles. A profile costs nothing, takes about half an hour to set up, and for a local practice it often brings in more enquiries than the website does.

This guide covers creating and verifying the profile, the details that decide whether you show up, and the mistakes that get CA firms' profiles suspended. Everything Google-specific is taken from Google's own help pages, listed at the end.

Why a CA firm needs a Google Business Profile

Google says local results are based mainly on three things: relevance (how well your profile matches the search), distance (how far you are from the searcher) and prominence (how well known the business is, which includes reviews and links to your website). Google also says plainly that there is no way to pay for a better local ranking. You can't change distance. Relevance and prominence come from a profile that is complete, accurate and kept up to date.

For a practice, the profile does three jobs:

  • It gets you found. Clients search "chartered accountant in Andheri" or "ITR filing near me". If you have no profile, the firm down the road shows up and you don't.
  • It answers the basic questions. Are you open on Saturday? Where do I park? What is the phone number? People check this before they call.
  • It shows you are active. Recent photos, current hours and regular updates tell a visitor the firm is running and responsive.

Under the ICAI Code of Ethics, factual information about the firm (name, address, contact details, services) is generally acceptable. Solicitation, testimonials and claims like "best CA" are not. Everything below stays factual. For the detail, see what a CA can post on social media and Google.

Step 1: create or claim the profile

Sign in with a Google account the firm controls, ideally a firm email rather than a staff member's personal Gmail, then:

  1. Search for your firm on Google Maps first. If a profile already exists (Google sometimes creates one from public information), choose Claim this business and then Manage now. Don't create a duplicate.
  2. If there is no profile, go to business.google.com/add and choose Add your business to Google.
  3. Enter the firm's name, choose the category (see Step 3), say whether clients can visit you at an address, and add the phone number and website.
  4. Choose a verification option and follow the steps on screen.

If someone else, such as a former employee or an agency, already manages the profile, ask them to add you as an owner before they leave. Getting access back later is much slower.

Step 2: verify the profile, including video verification

Google decides which verification methods you get. Its help page says the methods are "automatically determined by Google and can't be changed", and that they depend on your business type, public information, region and hours. The possible methods are:

  • Phone or SMS: a code is sent to the business number.
  • Email: a code is sent to an address linked to the business.
  • Video recording: you record a short video of the office through the profile on your phone.
  • Live video call: a Google support person checks the office with you over video.
  • Postcard: a code is posted to the address.
  • Website: instant, if the firm's website is already verified in Google Search Console.

Many new profiles now get only the video recording option. Google's rules for it:

  • One unedited, continuous recording with no breaks, at least 30 seconds long, recorded and uploaded from a phone through the Business Profile. You can't upload a video you recorded earlier.
  • Show where you are: the street sign, building number, neighbouring shops or a landmark.
  • Show that the business exists: the firm's name board, which Google says should be "clearly printed on a permanent fixture". A sheet of paper taped to the door is weak evidence.
  • Show that you manage it: unlock the office, open a cabinet, or show your workstation and equipment that only staff can get to.
Mind what the camera sees. Google says the video must not include bank account, tax or ID numbers, private information about others, or other people's faces. In a CA office this matters: point the camera away from client files, open ledgers, PAN cards and screens showing client returns. Record before staff and clients arrive.

Google says reviews can take up to 5 business days. If the video is rejected, record a new one that shows everything from the first video plus the missing evidence. Google will never ask you for your verification code, so don't give it to anyone who calls asking for it.

Step 3: choose the right primary category

The category is one of the strongest relevance signals you control. Google's rule is to pick categories that complete the sentence "This business is a…", not "this business has a…". You must choose from Google's list. You can't type your own. Pick a specific category rather than a general one, and use as few as you need.

The categories that fit a practice in India (these exist in Google's category list; type the first few letters in the category box and confirm the exact spelling there):

CategoryUse it as
Chartered accountantPrimary category for a CA firm or a practising CA.
Tax consultantAdditional category if tax advisory is a large part of the work.
Tax preparation serviceAdditional category if you file a lot of ITRs and GST returns.
Accountant / Accounting firmAdditional, or primary for a non-CA accounting practice.
Bookkeeping service, AuditorAdditional, only if they describe what you really do.

Don't add categories for things you only "have" or do occasionally, and don't add a category because a competitor uses it. Changing the category later may make Google ask you to verify again, so get it right the first time.

Step 4: the name, with no keyword stuffing

Google's rule is that the name must be the business's real-world name, as used on the office sign, letterhead and website. Google lists what you can't add: marketing taglines, phone numbers, website addresses, location details, opening hours, and descriptions of services. For a CA firm:

CorrectBreaks the guidelines
Sharma & Associates, Chartered AccountantsSharma & Associates - Best CA in Pune
R K Mehta & CoR K Mehta & Co | GST, ITR, Audit, Company Registration
Iyer Patel & CoIYER PATEL & CO - Open 7 Days - 98XXXXXXXX

"Chartered Accountants" is fine if it is part of the name on your sign and letterhead. Keyword names are the most common reason local profiles get suspended, and for a CA firm a name like "Best CA in Pune" is also an ICAI problem.

Partners as separate profiles. Google allows an individual practitioner in a public-facing role to have their own profile, separate from the firm's. Most small firms are better off with one strong firm profile. If a partner does create one, the firm's profile stays separate and support staff should not have profiles.

Step 5: address or service area

This is where most CA firms go wrong, so read the rules carefully:

  • An office clients visit: show the full address. Place the map pin exactly on your building.
  • No office clients visit (you work from home and go to clients): set up as a service-area business. Remove the address and list up to 20 service areas by city or PIN code. Google says the whole area should be no more than about 2 hours' drive from your base.
  • Virtual offices are not eligible. Google says a rented mailing address you don't operate from can't have a profile. PO boxes and remote mailboxes are not accepted either.
  • Co-working spaces qualify only if the office has clear signage, receives clients during business hours, and is staffed by your own people during those hours.

If the firm has two branches with staff and clients at each, each branch can have its own profile. All branches use the same name and share the primary category.

Step 6: hours, services and description

Hours. Enter the hours clients can actually reach you. During due-date season, if you open on Sundays or stay late before 31 July, use special hours for those dates instead of changing your regular hours. Set special hours for festival closures too. Wrong hours lead to annoyed clients and bad reviews.

Phone and website. Use a number that rings at the firm and that the firm controls, not a personal number that leaves with a staff member. Link to your own website.

Services. Add the services you offer in plain words: income tax return filing, GST registration and returns, TDS returns, accounting and bookkeeping, company and LLP compliance, audit. This helps relevance. Leave prices off. Whether exclusive services such as audit belong in the list is not settled by the ICAI, so take the conservative view described in the ICAI guide.

Description. You get up to 750 characters. Google asks you to describe what you offer and how long you've been in practice, and to leave out links, prices, promotions and phone numbers. An example:

Sharma & Associates is a chartered accountancy firm in Kothrud, Pune, in practice since 2009. We work with individuals, small businesses, startups and companies on income tax, GST, TDS, accounting, company law compliance and audit. Our team of three partners and twelve staff works in English, Hindi and Marathi.

Keep it factual. Leave out "leading", "No. 1" and "trusted by 500 clients".

Step 7: photos that make the profile look real

Google's specifications: JPG or PNG, between 10 KB and 5 MB, recommended size 720 × 720 px, minimum 250 × 250 px. Photos should be in focus, well lit and not heavily filtered. Google's photo tips for professional services suggest at least three of each:

  • Exterior: the building and the sign, from the direction clients arrive. This also helps people find you.
  • Interior: reception and the meeting room.
  • Team: the partners and staff. Check that everyone in the photo is happy to appear.
  • At work: a meeting or the team at their desks. Make sure no client document or screen is readable.

Add a cover photo, such as the office front. Be careful with a logo: the ICAI rules have restricted firm logos and monograms, so check the ICAI guide before uploading one. After setup, the profile needs regular activity. Updates and posters keep it looking current. What to post on Google every week has a plan, and OneClick Scheduler can post them to Google along with your other channels.

Mistakes that get profiles suspended

Google can suspend profiles that don't follow its guidelines. The usual causes for small professional firms:

  1. Keywords in the name, such as "CA Firm Pune GST ITR".
  2. A virtual office or a mailbox address, or an address where you don't work.
  3. Duplicate profiles for the same office, often created by different staff or an agency.
  4. Several big edits at once: changing the name, address and category on the same day after verification looks suspicious. Make changes one at a time.
  5. Fake or bought reviews, or reviews written by staff. Google treats reviews based on a conflict of interest, including employment, as prohibited.
  6. A personal mobile number or a number that doesn't connect to the business.

If you are suspended, fix the cause first, then use Google's Business Profile appeals tool. Attach evidence such as the firm's registration, GST registration certificate or a utility bill in the firm's name. Google says you can appeal only once, so get the evidence together before you submit.

Once the profile is live, reviews will start coming in. Replying to Google reviews as a CA firm explains how to answer them without breaking client confidentiality. OneClick Scheduler's Google screen shows all reviews in one place and alerts you when a low rating arrives.

Frequently asked questions

What is the right Google Business Profile category for a chartered accountant?

Use Chartered accountant as the primary category. Add Tax consultant, Tax preparation service or Accountant as additional categories only if they describe work you really do. Choose from the list Google shows in the category box. You can't create your own category.

Can I create a Google Business Profile for my CA practice if I work from home?

Yes, as a service-area business. Remove the address so it is not shown and list up to 20 service areas by city or PIN code. If clients visit you at home and there is a sign, you can show the address. A virtual office or a mailing address you don't work from is not eligible.

Why is Google only giving me video verification?

Google chooses the verification methods based on the business type, public information, region and hours, and they can't be changed. Record one continuous clip of at least 30 seconds on your phone showing the street, the name board and you opening the office. Keep client files, ID numbers and other people's faces out of the frame.

Can I add "CA" or "GST" to my business name on Google?

Only if it is part of the firm's real name as shown on the office sign and letterhead, such as "Sharma & Associates, Chartered Accountants". Adding service or location keywords, like "GST Filing Pune", breaks Google's guidelines and can get the profile suspended.

Is a Google Business Profile allowed under the ICAI rules?

Factual information about the firm, such as name, address, hours and services, is generally acceptable. Claims like "best CA", testimonials, soliciting reviews and promoting fees for audit or certification work are not. See our guide to the ICAI advertisement rules for the detail.
