Key points
  • Apps can publish only to an Instagram professional account (business or creator). A personal account cannot be connected to any scheduling tool.
  • Many tools sign you in with Facebook and therefore need the Instagram account linked to a Facebook Page. OneClick Scheduler connects Instagram with an Instagram login, but you still need the Page to post on Facebook, and linking the two is worth doing anyway.
  • Switching takes two minutes: Profile → menu → Account type and tools → Switch to professional account → choose Business.
  • To link a Page: in the Instagram app, Edit profile → Page → Connect or create; or from the Page, Settings → Linked accounts → Instagram → Connect account.
  • Most connection errors come from four things: a personal account, no full control of the Page, a Page owned by a Meta Business portfolio, or a permission left unticked during sign-in.

You sign up for a scheduling tool, click "Connect Instagram", and get an error — or Facebook shows "no Pages found" when you know your firm has a Page. These problems almost always come from how the accounts are set up on Meta's side, not from the tool. This guide explains what Meta requires, walks through the setup step by step, and lists the usual errors with their fixes. Set aside ten minutes, your phone with Instagram on it, and the Facebook login of whoever created the firm's Page.

Why scheduling tools need a professional account (and often a Page)

Instagram does not let apps post to personal accounts. Publishing from outside the Instagram app goes through Meta's Instagram API, and Meta's developer documentation is clear that it serves only Instagram professional accounts — business or creator. A personal account cannot be connected to any scheduler, however it is set up.

The Facebook Page comes in because the API has two set-ups:

  • Instagram API with Facebook Login: you sign in with Facebook, and the tool reaches Instagram through the Facebook Page it is linked to. Here the Page link is required. Many scheduling tools work this way, which is why "link your Instagram to a Facebook Page" is such common advice.
  • Instagram API with Instagram Login: you sign in with Instagram itself, and no Facebook Page is needed.

OneClick Scheduler connects Instagram with an Instagram login, so your Instagram account does not have to be linked to a Page for OneClick to post to it. You still need a Facebook Page to post to Facebook, because apps can post only to Pages, never to personal Facebook profiles. And linking the two is worth doing anyway: Meta lists cross-posting, shared insights and Instagram's business tools as the benefits, and you can manage both from Meta Business Suite.

Step 1: switch Instagram to a professional account

A CA firm should choose Business. Meta describes business accounts as best for local businesses and service providers, and creator accounts as best for public figures and content producers. If a partner runs a personal brand account, Creator is fine — both work with schedulers.

In the Instagram app:

  1. Tap your profile picture at the bottom right to open your profile.
  2. Tap the menu (three lines) to open Settings and activity.
  3. Under For professionals, tap Account type and tools.
  4. Tap Switch to professional account.
  5. Choose the category closest to what the firm does (an accounting or tax category). The category does not decide whether the account is business or creator.
  6. Choose Business and tap Next.
  7. Add the firm's contact details (or skip), and when asked, tap Log in to Facebook to connect a Page now, or Skip to do it later.

On instagram.com the path is More → Settings → Account type and tools → Switch to professional account. One thing to know before you switch: if the account is private, switching makes it public, and pending follow requests are accepted automatically. You can switch back to a personal account at any time.

Step 2: make sure the firm has a Facebook Page — and that you control it

A Facebook Page is not the same as a personal Facebook profile. If the firm's presence on Facebook is a partner's profile with the firm name, you need to create a Page (Facebook → Pages → Create new Page) and use that.

Then check who controls it. To link Instagram or connect a scheduler, the Facebook account you sign in with needs full control of the Page (Facebook access to the Page, in Meta's current terms). Pages are often created by a former employee or a designer; if that is your case, ask them to give a partner's Facebook account full control before you start.

Also check whether the Page belongs to a Meta Business portfolio (formerly Business Manager). Open Meta Business Suite → Settings; if you see your firm's portfolio with the Page under Pages, it is portfolio-owned. That matters for linking and for connecting tools, as you will see below.

Connect once, post everywhere

Connect your Instagram professional account, Facebook Page, LinkedIn and Google Business Profile in OneClick Scheduler and schedule a week of posters from one screen.

Try OneClick Scheduler

There are three ways to do the same thing. Use whichever is easiest; you only need one.

From the Instagram app

  1. Go to your profile and tap Edit profile.
  2. Scroll to Public business information (business accounts) or Profile information (creator accounts).
  3. Tap Page, then Connect or create, then Continue.
  4. Tap Log in to Facebook and continue with the Facebook account that controls the Page (or tap Switch Facebook account).
  5. Choose the firm's Page and tap Connect.

From the Facebook Page

  1. On Facebook, click your profile photo → See all profiles → switch into the Page.
  2. Click the Page's profile picture → Settings and privacy → Settings.
  3. Under Permissions, click Linked accounts → Instagram → Connect account, and follow the steps.

From Meta Business Suite (portfolio-owned Pages)

If the Page is in a business portfolio, the Instagram account must be in the same portfolio. In Meta Business Suite on desktop: Settings → Instagram accounts (under Accounts) → Add → Add Instagram account, then log in to Instagram and confirm. You need full control of the portfolio for this. Adding the account to the portfolio does not by itself link it to the Page, so link it afterwards using one of the two methods above.

Meta notes that once linked, anyone with access to either the Page or the Instagram account can manage both, so review who has access to each.

OneClick Scheduler: Business-portfolio Pages are supported too.

Step 4: connect the accounts to your scheduler

In OneClick Scheduler, log in at practiceguru.pro/scheduler with your PracticeGuru account and open Connected accounts:

  • Instagram: click Connect and log in with the Instagram professional account.
  • Facebook: click Connect, log in with the Facebook account that controls the Page, and when Facebook asks which Pages to share, tick the firm's Page and allow all the permissions it lists.
  • Page not in the list? If the Page is owned by a Meta Business portfolio, use Connect a Page from your Business portfolio on the Facebook card. Facebook only lists portfolio-owned Pages to apps that ask for business access, and this option asks for it.

Then connect LinkedIn and Google Business Profile the same way, and you can schedule a post to all four from one screen. The Help Center has a guide for connecting each account.

Connect the firm's accounts with a partner's own login, not a staff member's. If the person who connected the Page leaves, the connection can stop working, and you may lose control of the Page as well.

A two-minute checklist before you start scheduling

  • Instagram is a professional (Business) account with the firm's name, category and contact details.
  • The firm has a Facebook Page, and a partner's Facebook account has full control of it.
  • If the Page is in a business portfolio, the Instagram account is in the same portfolio.
  • Instagram and the Page are linked (optional for OneClick Scheduler, needed for many other tools, and useful for Meta Business Suite).
  • Both are connected in your scheduler, and a test post has gone out to each.

Once this is done, it rarely needs touching again. Next, decide when to post — see best time to post for a CA firm in India — and what to post each week, in the 15-minute-a-week plan.

Frequently asked questions

Can I schedule posts to a personal Instagram account?

No. Meta's Instagram API, which every scheduling tool uses, works only with professional accounts (business or creator). Switch the account to professional first; it takes about two minutes and can be reversed.

Business or creator account — which should a CA firm choose?

Business. Meta describes business accounts as best for local businesses and service providers. Both types can be connected to scheduling tools.

Do I have to link Instagram to a Facebook Page?

For tools that sign in with Facebook, yes — the link is required. OneClick Scheduler connects Instagram with an Instagram login, so the link is not required there. You still need a Facebook Page to post to Facebook, and linking the two gives you cross-posting and shared insights in Meta Business Suite.

Why does my Facebook Page not show up when I connect it?

Usually because your Facebook account does not have full control of the Page, you unticked the Page on Facebook's permission screen, or the Page is owned by a Meta Business portfolio. In OneClick Scheduler, use "Connect a Page from your Business portfolio" for portfolio-owned Pages.

Can I post to my personal Facebook profile from a scheduler?

No. Facebook allows apps to post only to Pages, not to personal profiles. Create a Page for the firm and connect that.
