What AI can and cannot do in a CA office

15 min read · Print this lesson

Tools like ChatGPT, Claude, Gemini and Copilot can write, summarise, translate and explain. In a CA office that covers a lot of daily work: the client mail, the reminder, the circular summary, the Excel formula. But they also make mistakes with great confidence, and anything you paste into them leaves your office. This lesson shows both sides honestly, so you know where AI is worth using before you spend any money or time on it.

Think of it as a very fast junior

The easiest way to understand an AI tool: it is a junior who has read a huge amount, types very fast, never gets tired and speaks many languages. It is also a junior who has never seen your client, does not know what changed last month, sometimes invents an answer instead of saying "I don't know", and must never be given the client's PAN, passwords or bank statements without the details hidden.

You would never let a new junior send a reply to a tax notice without reading it. Treat AI the same way. AI writes the first draft. You decide what goes out.

10 office tasks, with and without AI

These are typical tasks in a small practice. The times are rough estimates for a person who has done the task before. The "with AI" time includes reading and correcting the draft, which you must always do. Your own times will differ.

Notice what is not on the list: deciding the tax treatment, signing anything, filing anything, or telling the client what the law is without checking. The judgement stays with you.

Try one now

Open any free AI tool (lesson 1 helps you pick one) and paste this. There is no client data in it.

Prompt
You are the office assistant of a small chartered accountancy firm in India.
Write a short, polite WhatsApp message to our clients asking them to send their documents for this year's income tax return.
List: Form 16, bank interest certificates, rent receipts, home loan certificate, capital gains statement from their broker, and any other income.
Keep it under 80 words. Give one version in English and one in simple Hindi.
End with: "Reply to this message if you have any questions."

Read what comes back. It will probably be usable after one or two small edits. That is the whole idea.

Where AI goes wrong

1. It makes things up

Ask for a case law and it may give you a case name, a year and a quote that look perfect and do not exist. Ask for a section number and it may give the wrong one. This has already happened in an Indian tax tribunal (lesson 11). Never use a case, section, rate or due date from AI without checking the source.

2. It does not know what changed last month

Each tool learned from text up to a certain date. Some can search the web, but they do not always do it. The Income-tax Act, 2025 replaced the 1961 Act from 1 April 2026, so section numbers you knew for years have changed; an AI tool may still quote the old Act. GST rates, due dates and forms change often.

3. It is weak at exact numbers

It can write a formula well, but it can get a simple calculation wrong in a sentence. Let Excel do the arithmetic; let AI explain and write.

4. What you paste leaves your office

Your text goes to the company that runs the tool. Depending on your plan and settings, it may be kept and used to train the tool. Client PAN, Aadhaar, bank details and passwords must never go in. Lesson 2 shows exactly what to hide and how.

5. It sounds sure even when it is wrong

A wrong answer and a right answer look equally confident. The tone tells you nothing. Only checking does.

Your duty does not change

If an AI draft goes to a client with a wrong section or a wrong figure, it is your mistake, not the tool's. As a CA you also owe your clients confidentiality: the ICAI Code of Ethics says it covers how you collect, store, use and share client information. Using AI well means keeping both duties in mind every time.

How this course works

  • 13 short lessons, 10 to 15 minutes each. Read one a day.
  • Lessons 1 to 3 set you up safely: the tool, the data rules and how to ask. Do these first.
  • Lessons 4 to 9 are daily office work, with prompts you can copy.
  • Lessons 10 to 12 cover marketing within ICAI rules, checking AI output, and a firm AI policy for your staff.
  • Bonuses: 50 ready prompts, a client data masking checklist and an AI policy template.

Do this today (10 minutes)

  1. Run the WhatsApp reminder prompt above in any free AI tool. Note what you had to change.
  2. Ask your team: "Is anyone already using ChatGPT or another AI tool for office work? For what?" You may be surprised. Write the answers down; you will need them in lesson 12.
  3. Pick one task from the table of 10 that eats the most time in your office. That is where you start.
