Key points
  • Instagram lets apps post only to a professional account (Business or Creator). A personal account cannot be connected to any scheduling tool. This is Instagram's rule, not the tool's.
  • Switching is free and takes about two minutes. Your username, posts and followers stay the same, and you can switch back.
  • The one real change: a professional account is public. If your account is full of family photos, open a separate account for the firm instead of switching.
  • A CA firm should choose Business. A partner building a personal profile can choose Creator. Both can be connected.
  • To check what you have, open your profile in the Instagram app. A professional account shows Professional dashboard near the top.

You press Connect on a scheduling tool, Instagram opens, and nothing useful happens. Either you are told the account is not eligible, or you get stuck on Instagram's own screens and close the window. When a practice cannot connect Instagram, the usual reason is simple: the account is a personal one. This guide explains why that matters, what actually changes when you switch, and when a separate account for the firm is the better choice.

The rule: apps can post only to professional accounts

Every scheduling tool publishes through Meta's Instagram API. Meta's developer documentation says this API serves Instagram professional accounts, which it describes as accounts that represent a business or a creator. Personal accounts are not included.

So this is not a limit of one product, and paying for a costlier tool will not get around it. If a tool offers to post to a personal Instagram account by asking for your password, be careful. That is not Meta's approved route, and it puts the account at risk.

How to check which account you have

  1. Open the Instagram app and go to your profile.
  2. If you see Professional dashboard near the top of the profile, the account is already professional.
  3. If you do not see it, the account is personal. To be sure, open the menu (three lines) and look for Account type and tools. If it offers Switch to professional account, you are on a personal account.

What changes when you switch, and what does not

People put this off because they worry about losing something. Most of those worries are unfounded.

Your questionAnswer
Will I lose my followers or posts? No. Your username, posts and followers stay as they are.
Does it cost anything? No. A professional account is free.
Do I have to run ads?No. Ads are optional, and you can ignore them completely.
Can I go back?Yes. You can switch back to a personal account from the same settings.
Can my account stay private? No. A professional account is public, and pending follow requests are accepted automatically when you switch.
Do I need a Facebook Page first? Not for OneClick Scheduler, which connects Instagram with an Instagram login. Some other tools sign in through Facebook and do need a linked Page.

You also gain something useful. A professional account shows how many people saw each post and how they interacted with it. A personal account gives you very little of this, so you cannot tell what is working.

Switch your account, or open a new one for the firm?

This is the decision that actually matters, and it depends on what is already on the account.

  • Switch the existing account if it is already about the firm or your professional work, and you are comfortable with everything on it being public.
  • Open a new account for the firm if the account has family photos, personal trips or anything you would not want a client to scroll through. You can keep your personal account private and add the firm's account to the same Instagram app.

If you open a new account, use the firm's email address rather than a staff member's. The firm should not lose its account when someone leaves. Name it after the firm as registered, and keep the password with a partner.

ICAI bars firm logos and monograms on any media, including the internet, so use a partner's photograph or the firm name in plain text as the profile picture. Keep the bio factual, with no "best" or "leading". The ICAI rules in plain words cover what a firm's posts and profile can contain.
Is your account professional now?

Connect it to OneClick Scheduler in about a minute and make your first post. One connected account is enough to start.

How to switch, in two minutes

  1. In the Instagram app, go to your profile and tap the menu (three lines).
  2. Under For professionals, tap Account type and tools.
  3. Tap Switch to professional account.
  4. Pick the category closest to your work, such as an accounting or tax category.
  5. Choose Business and tap Next.
  6. Add contact details or skip them. If you are asked to connect a Facebook Page, you can skip that for now.

Instagram sometimes moves these menus. If you cannot find an option, search for "account type" in the app's settings.

Business or Creator?

Choose Business for a firm. Meta describes business accounts as best for local businesses and service providers. Creator suits a partner who is building a public profile in their own name. Both work the same way for scheduling, so this choice will not stop you from connecting.

When you connect: three things that catch people out

  • The wrong account is logged in. The connection uses whichever Instagram account is logged in on that browser. If your personal account is logged in, log out at instagram.com first, or use a private or incognito window.
  • The wrong login details. On the Instagram screen, use your Instagram username and password. If you have forgotten the password, reset it on Instagram first.
  • Pressing Not now. Instagram asks for permission to let the app post. Press Allow, or the connection will not finish.

In OneClick Scheduler, open Connected accounts and press Connect on Instagram. You will first be asked whether the account is professional, so you can fix it before you reach Instagram's screens. To post on Facebook as well, you need a Page, which is a separate step. See why a CA firm needs a Facebook Page.

Quick checklist

  • You know whether the account should be switched or whether the firm needs a new one.
  • Everything on the account is fine to be public.
  • The account type is Business, and Professional dashboard shows on the profile.
  • The firm's account is the one logged in on your browser.
  • You press Allow when Instagram asks.

Frequently asked questions

Why can't a scheduling tool post to my personal Instagram account?

Because Meta's Instagram API, which scheduling tools use, serves professional accounts only. The same rule applies to every tool that uses the approved route.

Will switching to a professional account delete my posts or followers?

No. Your username, posts and followers stay the same. The main change is that the account becomes public.

Is a professional Instagram account free?

Yes. There is no charge for switching, and you do not have to run ads.

Can I keep my account private and still schedule posts?

No. Professional accounts are public. If you want to keep your personal account private, open a separate account for the firm.

Should a CA firm choose Business or Creator?

Business. Meta describes it as best for local businesses and service providers. A partner building a profile in their own name can choose Creator. Both can be connected.

Do I need a Facebook Page to connect Instagram?

Not in OneClick Scheduler, which connects Instagram with an Instagram login. You need a Page only if you also want to post to Facebook. Tools that sign in through Facebook do need the Instagram account linked to a Page.
